Checklist for contractors

Check what information you might need to provide if you apply for a contract with us.

If you apply for a contract with us you'll:

  • most likely be asked to provide the following information, where relevant
  • need to apply to join our approved list of contractors for most construction contracts

Technical and professional ability

We'll need references from at least 3 organisations you’ve carried out similar work for.

We may also ask for evidence of relevant qualifications, for example CORGI, NICEIC or RICS.

Financial capacity and stability

Audited accounts for the past 3 years, where the most recent is less than 10 months old.

For companies with a turnover below £250,000 and not required to have audited accounts, we'll usually require both of the following:

  • statement of turnover
  • profit and loss statement

Insurance

You must have:

  • employers’ insurance for at least £5 million
  • public liability for at least £5 million (may be more depending on the assessment of risk)

You only need professional indemnity insurance where appropriate.

If it is required a minimum of £250,000 is generally expected. This could rise depending on the nature of the contract and its risk assessment.

If you do not have this much insurance, do not buy it unless you've been officially awarded a contract from us.

We do not reimburse contractors or suppliers for this expense.

Quality management

You must hold a recognised quality management accreditation, such as ISO9001:2000, or give evidence that your systems and procedures:

  • use a systematic approach
  • involve people within the organisation
  • work with suppliers
  • encourage continued improvement
  • focus on customers
  • provide leadership
  • base decisions on facts

We're committed to preventing discrimination against our employees and the people they serve on the basis of:

  • race
  • colour
  • ethnic origin
  • religion
  • disability
  • age
  • sexuality
  • gender

We expect our contractors and suppliers to show similar commitment.

Environment and sustainable procurement

We're committed to improving our own environmental and sustainable performance through the use:

  • best available materials

  • best practice

  • new technologies

We expect our contractors and suppliers to show similar levels of care and commitment.

Southwark is a Fairtrade borough.

Modern slavery

We expect our contractors and suppliers to take steps to prevent modern slavery.

Mayor's Good Work Standard

Contractors working with the Council must meet the requirements of The Mayor’s Good Work Standard’s foundation level for contracts over £100,000.

End Violence at Work Charter

We encourage contractors to sign up to Unison’s End Violence at Work Charter.
