Review your event

What evidence to collect for your funders and what you can learn for next time.

The information you gather about your event is important. It helps us improve our service and helps you improve your event. This evaluation is the process of looking at:

  • what you set out to achieve
  • what actually happened 
  • lessons can be learned for the future

Setting out your aims and objectives at the beginning will make evaluating your event easier. It also gives you the chance to reflect on what has happened and the opportunity to share anything you've learned.

Importantly, you need to show that the money spent wasn't wasted. If your event was funded by the council, a grant, public donations or through private sponsorship, these organisations will want a report to show how their money was spent. Collect evidence of:

  • what happened at the event
  • who took part 
  • photos, film and audio recordings
  • press and social media coverage
  • what people thought about it

Consider asking audience members, performers, partners, local residents, stall holders and workshop leaders.

After you’ve evaluated your event, look at the data and see if you’ve met your objectives. You can also share the information with participants, partners and funders as an event debrief or a written report.
